            Life sciences and healthcare companies use master data management solutions, such as Veeva, to obtain comprehensive, real-time information about healthcare providers and patients with whom they are interacting or engaging.

            Lextegrity has the ability to integrate Veeva with any request type and for certain recipient types such as HCPs. Integrated data from Veeva for healthcare providers (HCPs) can include things such as name, location, credentials, specialty, identification numbers (e.g., NPI), certifications, license information, etc.

            Note: Depending on your organization’s specifications the way integration works may vary. The instructions below are meant as a general guideline only. 

             

            How does Veeva integration work for FMV Profiling requests?

            When a submitter creates a new FMV profiling request for an HCP, the Full Name search automatically pulls the HCP's data from the Veeva API instead of internal master data. The search will begin to load results right after the first character is entered.

            The search results display 25 records per page, with the possibility to navigate between pages. The returned search results are automatically sorted by the most relevant matches first. 

            Users can also search using the Veeva ID. 

            If multiple HCPs have similar names, users can try searching the Name plus their Country. For example, instead of John Smith, try John Smith United Kingdom. This will narrow the list down further. 

            When the user selects an HCP from the search results, the system will display all the Veeva attributes (that are mapped) into the top section of the contact details screen.

            Note: The system displays an additional “(I)” next to inactive licenses.

            Once the FMV profiling request is submitted for approval, the HCP information listed above is saved to master data; however, the profiled rate is not saved until the request is approved. 

            Once the request is approved, the profiled rate is saved to master data, and submitters can proceed with using the profiled HCP within an engagement request. 


            Note: All the HCPs that have already been profiled will populate the search results on the FMV Profiling landing page. Returned results come from master data, not Veeva. If an HCP is not listed in the search, it has not yet been profiled, and the user must click New Profile. 

             
             

            How does Veeva integration work for Engagement requests?

            Consultant Engagements

            After an HCP has been approved in an FMV Profiling request, they can be used in an engagement request and assigned service fee as a support category. 

            The submitter must select a recipient type for which Veeva is configured (e.g., HCP, HCP-GO, Other). 

            The Full Name field within the Add Consultant modal will return results from Veeva. The search will begin to load results right after the first character is entered.

            The search results display 25 records per page, with the possibility to navigate between pages. The returned search results are automatically sorted by the most relevant matches first. 

            Users can also search using the Veeva ID. 

            If multiple HCPs have similar names, users can try searching the Name plus their Country. For example, instead of John Smith, try John Smith United Kingdom. This will narrow the list down further. 

            Once the HCP is selected from the search results and the Veeva attributes are populated at the top of the contact details screen, the system will pre-populate and/or disable additional fields (based on tenant configuration).

            The FMV rate will only be populated if the HCP has already been used in an FMV Profiling request (or the rate has been added directly to master data by an admin).

            Other Engagement Request Types

            For other request types where a service fee isn't being provided, it is not necessary to submit an FMV Profiling request prior to adding and submitting the recipient in the request. 

            After adding the recipient, the Full Name search will pull results directly from Veeva. 

             

             

            Storing Veeva Information into Master Data

            Note: Only users with View Master Data privileges can view HCPs within Master Data Management. 

            Once a request with a Veeva HCP is submitted, the system stores the HCP individual(s) to Master Data.
            Information for a newly created HCP can be found within Admin → Master Data Management → Individuals → HCP/GO & Other

            From here, click on a name to view detailed Veeva information saved to Master Data. 

             
             

            Editing/Updating Veeva HCP within Master Data

            Note: Only users with Edit Master Data privileges can edit HCPs within Master Data Management. 

            To view or edit an HCP, click the Name of the person you want to view or edit. The next screen that opens will show all of the information, including Veeva information, for the selected Individual. 

            To edit the Individual's information within the details screen, click the Edit button.

            All information from Veeva is disabled for editing, but all other info can be changed such as: 

            • Preferred Short Name
            • First, Middle, & Last Name
            • Employment Info
            • FMV Data
            • Additional Info
            • MDM ID

            Once all the information is changed, click Save and Close.

             

            Editing Veeva HCP within Master Data

            Master Data Admin can change any editable fields for the HCP Veeva individual.

            When a submitter user creates another request with the same Veeva HCP the system launches the most recent data from both Veeva and Master data.
