            Many tenants utilize HR data to automatically update employee records, enhance dashboard reporting, and auto-populate managers into request approvals. 

             

            The following fields are provided in Master Data → Individuals → Employees. 

            Note: HR Fields are enabled for all tenants, however, editable fields will only be populated for tenants who provide HR files and utilize HR data to populate approvers. Non-editable fields are hidden until populated with HR data.

            Master Data admins have the ability to edit the following fields and can be used to allow for a submitter to continue with submitting their request while the HR file is being updated by the tenant. 

            WARNING: Any changes made to these fields will be overwritten if the HR file still contains the old value. The HR file MUST still be updated with the correct value.

            If a field in Master Data is edited and the submitter is able to submit their request with the new value, but the HR file is not updated then the following rules apply:

            • the approvers in the request will remain with the new value
            • master data will revert to the old value

            If the HR file still isn't updated and the submitter updates and resubmits the request, then the following rules apply:

            • the approvers will revert to the old values and the submitter will be blocked from resubmitting the request again
            • the Master Data admin will need to update the value again
             

            Employment Information 

            Employment Information: Description
            Title or Official Position Title or Official Position
            Manager Populated from HR data (if HR data is utilized by tenant to populate manager information). Dropdown list contains list of all active users in the system. 
            HR Manager Populated from HR data (if HR data is utilized by tenant to populate manager information). Dropdown list contains list of all active users in the system. 
            Approver Manager One  Populated from HR data (if HR data is utilized by tenant to populate manager information). Dropdown list contains list of all active users in the system. 
            Approver Manager Two Populated from HR data (if HR data is utilized by tenant to populate manager information). Dropdown list contains list of all active users in the system. 
            Approver Manager Three Populated from HR data (if HR data is utilized by tenant to populate manager information). Dropdown list contains list of all active users in the system. 
            Approver Manager Four Populated from HR data (if HR data is utilized by tenant to populate manager information). Dropdown list contains list of all active users in the system. 
            Employer Employer field is based on master data for Organizations
            Function Only shown for Individual type = Employee
            Professional Designation Designations indicate qualifications or professional certifications. (Not shown for Individual type = Employee)

            The following fields are not editable and are only populated through the HR file upload. 

            Note: Non-editable fields are hidden until populated with HR data.

            • Employee ID 
            • Work Email
            • Function
            • Subfunction
            • Business Area
            • Division
            • Company Name

            To edit the Individual's information within the Details Screen, click the Edit button. 

            Next, enter or edit the information you want to change and click Save and Close.
