Giving vs Receiving GEH Request Types
Why are giving Gifts, Travel, Hospitality and receiving Gifts, Travel, and Hospitality two separate workflow types? Can our organization combine these into one request type?
Our product offers two distinct workflows for handling gifts, travel, and hospitality: one for giving and another for receiving. These workflows are separate due to their unique processes and objectives.
In the giving workflow, the company intends to provide something valuable to an external party. Our form captures all proposed transfers of value, which may be revised or removed during review. The company's primary focus is on the final set of approved transfers.
On the other hand, the receiving workflow involves employees disclosing items offered by external parties, regardless of acceptance. The company aims to maintain a comprehensive record of both accepted and rejected offers in this context. In that way, the receiving workflow functions more similarly to a conflict of interest disclosure.
As a result, we maintain these as separate workflows: an approval request for gift-giving and a disclosure request for gift-receiving. While you can reject a gift within the disclosure process, it remains recorded for reporting purposes – unlike proposed gifts that are removed during reviews in the giving process, which remain only as part of the audit trail.
