Email Reminders
Emails get lost and users sometimes need reminders that there are actions pending from them. A summary reminder email will allow the user to holistically see all the items pending their action and quickly access the system to take action on them
When are emails sent? Reminder emails are sent every Monday & Wednesday at 7:00 am UTC to notify users when their actions are still outstanding.
Who is the email sent to? The reminder email is sent to all users
What does the email contain? The subject of the email is “Reminder: Your Action is Needed”. The email includes a list of all outstanding items (e.g. approvals, submission updates, and tasks). Each item includes a direct link to the system for the user to take action.

What items are included in the list? The email includes the top 15 open action items for Tasks, Approvals, Submissions, and Campaigns. If you have more than 15 items in one category, click the More link below the list to see all your open action items in the system. Open action items can be defined as In Progress Tasks or In Progress Requests. Once an outstanding item has been actioned, it will no longer be sent in future reminder emails.

FAQ
Can my organization opt out of reminders emails? No. Reminder emails are enabled for all customers.
Can we change the frequency when reminders are sent? No. Reminder emails are sent for all customers every Monday & Wednesday at 7:00 am UTC and cannot be changed.
Are reminder emails sent to Third-Party contacts to complete a DDQ? No.
If it's not my turn to approve, should I get an email reminder? No. Only actionable items are included.
What are “top” action items? Email reminders will include action items with the latest or newest dates. For example, a task due this week will be included over a task that was due last week.
How are action items sorted in email reminders? Action items are sorted in reverse chronological order (newest > oldest), so items with later dates will be organized before those with earlier dates.
- Tasks and Campaign items are sorted by due date if they have one.
- Submission and Approval reminders and Task and Campaigns without due dates are sorted by the last date that the system created the reminder, which is tied to a triggering event (e.g. user action or workflow status change).
