Editing the Veeva ID in Master Data

            In some cases, the Veeva ID may change for an HCP. If the HCP has already been used in a request and saved to Master Data, admins can use the instructions below to update the ID. 

            Note: Any changes made to the ID will only impact future requests. Existing requests will contain the original value; however, aggregate spend will correctly display the value for all requests associated with the HCP. 

             

            First, locate the profile in Master Data → Individuals → HCP/Other. Then, click on the Name. 

            Note: To edit an ID, the HCP must have already been used in a request to be saved to Master Data or imported into Master Data during the onboarding process.   

            Then, click Edit. 

            Now, you can edit the MDM ID field. 

            If the Veeva ID entered is already associated with another profile, the system will display an error message, and the user will not be able to proceed with that ID. 

            Scroll to the bottom of the page and click Save and Close to complete the action. The Veeva ID field will now be updated. 

            Warning: The edited MDM ID must match the current ID in Veeva. 

            If the MDM ID is edited incorrectly or removed entirely and left blank, the following scenarios exist:

            • The HCP record in Master Data will no longer be tied to Veeva and the HCP. 
            • Since the recipient search within requests searches from Veeva, users will not be able to locate the HCP with an incorrectly specified Veeva ID. 
            • If the MDM ID is removed and left blank, the HCP record in master data becomes a non-Veeva HCP record. If the MDM ID is entered again, the record then becomes a Veeva HCP within master data.
