Process Summary Dashboard

The Process Summary dashboard provides information about the approval process and can help identify approval steps that are stuck with an approver and can help identify opportunities to improve the approval workflow.
| Name | Definition |
|---|---|
| Turn Time | The total amount of time it takes to complete the approvals for a request from the initial submission date to the final approval in days. Only Complete requests are used in this calculation. |
| Step Time | The amount of time it takes to complete an individual approval step in days. Both Completed and Pending requests are used in this calculation. |
| Current or Step 0 | Approvals that are currently sitting with the approver waiting for action. |
| Days Aged | The number of days that an approval was with an approver before being completed. Note: If an approver requests an update, the Days Aged will continue to increase as the request is still at that approver's step. |
Aging Approvals Dashboard is used to track the following:
- Requests with Pending Steps
- Most Current Approvals
- Most Completed Approvals
- Longest Steps
- Avg. Turn Time by Request Type
- Avg. Turn Time by Submitter Country
- Avg. Turn Time by Submitter Business Area
- Avg. Turn Time by Submitter Division
- Avg. Turn Time by Submitter Function
- Avg. Turn Time by Submitter Sub Function
- Avg. Step Time by Approver Country
- Avg. Step Time by Approver Business Area
- Avg. Step Time by Approver Division
- Avg. Step Time by Approver Function
- Avg. Step Time by Approver Sub Function
- Collaborations by Assigner
- Collaborations by Assignee
- Approval Map
- Approval Listing
Filters
Clicking the Hamburger Icon in the top far left-hand corner of the dashboard will open additional filters that can be applied such as
- Request
- Submitter
- Approver
- Collaborations

When using the Days Aged filter, if you want to view a specific range, click the dropdown icon to the right of the filter and select Values in Range. Doing so will limit the results to only steps that are in the range and exclude any steps that haven't aged yet.
If you want to view all upcoming steps, including steps that haven't aged yet, change the dropdown to either All Values or Values in Range and Null Values.

The following filters in the top menu relate to Approver Collaborations:
- Assigner
- Assignee
- Workflow Role filters editor vs. approver collaboration. Note: this filter will include blank values for requests that do not have any collaboration.
- System Assigned collaborations to identify automated approval collaborations. Note: this filter will include blank values for requests that do not have any collaboration.
- Filter for requests where the submitter is also an approver.
- Collaborator Took Action is used to identify requests where an approver collaborator took action on the request.

How do I find both manually and automated assigned approval collaborators for a user?
First, access the Assigner filter under Collaboration. Uncheck All.

- For manually assigned approval collaborations search and select the user's email address in the Assigner field.
- For automated assigned approval collaborations, search for the user's email address with the word “System User” in the Assigner field. Example: System User (ramona@lextegrity.com).
- To find both, search and select the email address and the email address (System User).
Click Apply to show the results.

Info Icon
Hovering over the Info Icon in the top right-hand corner will display the last time Insights was updated along with other info about the dashboard.

Collaboration Visual
The Collaborations visual shows how many times a user (Assigner) has added a collaborator and who they added as a collaborator (Assignee).

For Automated approver collaborators, the Assigner will show as “System User (ramona@lextegrity.com).”

Clicking on a specific Assigner will filter the Approvals Listing table (at the bottom of the dashboard) to show the specific requests they assigned collaborators to.

Any user assigned automatically by the system using Automated Approver Collaborations will display (system user) next to the username.

Approval Map
The following icons are used to indicate actions within this visual.

If you hover over the steps on the right side of the Approval Map table, details about the step are displayed.

Within the Approval Map visual there are additional lines for Collaborators, along with Activity and Party.

Approvals Listing
An additional feature of the Approvals Listing allows the user to click on a request ID. Once the pop-up box for the request appears, the user has the option to open the selected request in the system.

Exporting Data
How do I export or download data from Reporting Insights?
Several icons are located at the bottom of each dashboard. See more information on these options and how they work in the chart below.

Save or view custom views. For example, if you need to routinely filter the Transaction Country to only Canada, you can apply that filter on the dashboard and then click this button to save it as a custom view. Then, you can set it as your default view, so, whenever you load the saved view in the dashboard, it is filtered to Canada by default. If you create multiple custom views, use this button to cycle between them. Note: While Custom Views are a convenient way to save your filter and view settings for future use, they are not guaranteed to persist across future dashboard updates. We recommend using them as a helpful tool for short-term convenience rather than a permanent or critical workflow component. To ensure continuity, please consider documenting key filter selections to reference in the event that they need to be recreated. |

How Do I Export or Download Data From Reporting Insights?
To download data, select Download at the bottom of the dashboard.

Next, select Crosstab.

Depending on which dashboard you are viewing, there may be multiple options available to download data. Below is a table that maps the previous Export to the Crosstab to download.
