            Aggregate Analysis functionality works by tracking contextual information about the aggregate amount and/or frequency of support provided to an individual recipient over a period of time beyond the value of a single request. Tracking the aggregate analysis over time can mitigate the risk of bribery, corruption, or even the appearance of impropriety in making payments to certain types of recipients (e.g., government officials and healthcare providers).  

            Note: Aggregate Analysis and Total Amount are not displayed in non-monetary request types, such as COI or ACOI. 

            Note: Aggregate Analysis functionality is configurable to your organization's specifications. The instructions below are meant as a general guideline only.

             

            How to view Aggregate Totals

            All users who can view the request can view aggregate totals by clicking on the Total Amount in the request details box. Approvers and Admins can also access the same information by clicking on the Total Amount of Support located on the right side of the screen. 

            The Aggregate Analysis view will open. Each recipient associated with the request will be displayed with the following information:

            • Name
            • Category
            • Frequency
            • Threshold
            • Amount Threshold
            • Over Threshold?
            • (Note: If your organization has not configured threshold amounts, Threshold and Over Threshold will not be displayed.)

            The summary table is shown as of today and includes aggregate data, even if it's in Draft status. So long as a recipient is added with an activity date and support category, the amount will be added to the total. 

            Note: By default, the Aggregate Analysis table is sorted in descending order by the Amount column; however, if your organization has configured Threshold Amounts, then the table is sorted in descending order by the “Over Threshold?” column.

             To change the sort order, click on the title of the column. 

             

            The search box can be used to find a recipient by name. To search, begin typing the name of the person you are searching for.


            Total Amount within Request Type and Support Categories

            The aggregate amounts are displayed for each recipient by request type and for each support category within a request type (not combining request types). For example, the totals for meals provided in an HCP Engage request will not combine meals from Provide a Gift, Hospitality, or Transportation requests.  

            For RGEH requests, aggregate amounts are displayed for both the party giving the gift and the individual receiving the gift. 

            Note: The submitter (individual receiving the gift) is added to the Aggregate Analysis table when the request is still in Draft status. The provider of the gift, is added to the Aggregate Analysis when the request is submitted.

            Note: Requests created prior to the release of this enhancement (August 2023) will still only include amount for the individual offering the gift, and not the person receiving it. 

             

            (Note: Only the support categories that exist in Lextegrity's library list and have values will be shown in the table. If a customer doesn’t have a gift category, it will not be displayed in the Aggregate Analysis table. Additionally, if a customer has gifts as a support category but the recipient has not received them, then gifts will not show up in the Aggregate Analysis table.)

            FAQ

            Are aggregate values updated in old and new requests? 

            Yes. The summary table is shown as of today's date and includes aggregate data, even if it's in Draft status. As long as a recipient is added to a request with an activity date and support category, the amount will be added to the total across all requests that include that same recipient.  

             
             

            What is “Threshold Amount”?

            Different threshold amounts are configurable for different support categories and for the request total. 

            • Support category total (amount/frequency)
            • Request total (amount/frequency)

            The Aggregate Threshold is based on the Activity Date value in the questionnaire. If the Activity Date is in the next configuration period for aggregation (next fiscal year, next calendar year, next quarter), the amount will not be counted current period, but will be counted for the next one. If the Activity Date in the questionnaire is a date range then start date will be the date for aggregation. 

            Example: If the date range begins December 30th, 2023 and ends January 2nd, 2024 the aggregation will be included in the 2023 totals.

             
             

            Which request statuses are included in the Aggregation?

            The aggregated calculation includes Draft, Approved, Recorded, Reviewed, Awaiting Approval and Update Pending recipients. The calculation is updated when a request or recipient is submitted or updated and resubmitted.

            (Note: The Aggregate Analysis table is viewable within requests in Draft status, however, the table will not include that specific request and amounts until the request is submitted.)

             
             

            Do I need a specific privilege to view Aggregate Analysis? 

            No. The ability to view Aggregate Analysis is a default privilege for both submitters and approvers. 

             
             

            Why isn't the Aggregate Analysis populated?

            In order for the aggregate analysis table to populate, the submitter must first enter the activity start date, add recipient(s), and assign amount(s) to the recipient(s).
