            User Management History allows administrators to view a timeline of changes made to each user account in your application. The history shows what changed, who made the change, and when it happened. It is designed to support compliance, audit reviews, and user-access troubleshooting.

            Similar to Master Data History, each event in User Management History includes the date and time of the change, a header, and details about the update. The exact tiles, labels, and available options may vary depending on your organization’s configuration and enabled features.

            Access User Management History

            To view a user record's history:

            1. In Admin Features, select Access Management.

            3. Select the user you want to review.

            4. Click the History () icon. The History icon will only be available to users with View User or Edit User privileges.

            5. You will now see a timeline of changes made to the user's record in the “History” pop-up. Events are sorted in chronological order. Each event includes:

            • The date and time of the event.
            • The event title.
            • Details about what changed.
            • The user or system process that made the change.

            If multiple values were changed at the same time, the event will be collapsed by default. Expand the event to see the full list of changes.

            What Events Are Displayed?

            User Management History will include the following events:

            Event Description
            User creation

            The user's account is created via:

            • System login (SSO or username and password).
            • Request submission flows for external or third-party contacts.
            • HR integration / HR data import.
            • Bulk import.

            Only successful user creation is tracked in User Management History. Duplicate or failed creation attempts, existing contacts, and retry cases are not recorded.

            For HR Integration / HR data import, a user record's history will display other employee records created or updated through that process.

            Status changes A user is activated, deactivated, blocked or unblocked. These events record the previous value and new value when the update is successful.
            User settings changes

            Changes made to the user's settings, including:

            • Preferred language.
            • Automated Approver Collaborator.
            • Collaborator end-date.

            When multiple changes are made to a user's settings at the same time, both events will be recorded with the same timestamp. If an Automated Approver Collaborator has no end date, the event will state “No End Date”.

            Access assignment changes

            Changes made to the user's access, including: 

            • Role assignments and removals
            • Group assignments and removals
            • Direct privilege assignments and removals (see details in the next section, Role and Privilege History)
            • Policy assignments and removals

            Role and Privilege History

            While roles and privileges are related, they are tracked differently in User Management History. The history records when a role is assigned to a user. Privileges that are part of that assigned role may affect the user’s access immediately, but they do not always create separate history events. However, direct privilege assignments and removals are tracked as in the User Management History.

            For example, when a user is created through Admin Bulk Creation and assigned a default role, the history will show the role assignment by the System User. Because the user’s privileges are inherited through the role rather than directly assigned to the user, a separate event for the privilege assignment will not appear in the history.

             

            Print User Management History

            If you need to print a user's history for compliance review, audit sharing, or internal recordkeeping, click the Print button in the History pop-up.

            Frequently Asked Questions

            Why don’t I see the History icon?

            You will not see the History icon on a user record's page if: 

            • You do not have the View User or Edit User privileges. 
            • The feature is not be enabled for your organization.

            Why is a user’s history empty?

            The user may not have any tracked history events yet.

            Why do I see “System User” in the history?

            Some events are completed by a system process rather than by an individual administrator. For example, default role assignment during bulk creation may display as completed by the System User.

            Why don’t I see every privilege that comes from a role?

            Privileges inherited from a role do not always create separate events in User Management History. When a role is assigned to or removed from a user, you will see that event in the user record's history. However, you may not see a separate event in their history for each privilege that is part of that role.

            Are Master Data edits shown in User Management History?

            User Management History focuses on individual user and access-related events. Some individual information edits made through Master Data may be recorded for audit purposes but will not be displayed in the User Management History.
