How to Create a New Party (Individual) within a Request

            A new party refers to an Individual or Organization that is created through the Add Party modal in the system. 

            It specifically applies to parties that are not HCPs added through Veeva or those that already have an existing record in master data.

             

            Click Add Recipient.

            Next, select the Recipient Type from the dropdown menu. 

            Note: Each recipient type corresponds with Master Data flags, which allow recipients to be stored in the backend based on their associated flags.

            For example, if a submitter selects the Government Official as the type in this step, the new party will be saved to master data with the Government Official flag selected.

            If the Individual you are adding to the request is not populated in the dropdown list from the Full Name field, click Add Individual.

            The Add Party modal will open. 

            Note: Individual Type will always be Other. 

            "Email Address is Associated with Another Individual” Error Message 

            If a submitter is creating a new recipient and receives an error message that says "This email address is already associated with another user," it means that email address is already assigned to an individual or organization in master data.

             

            Two options exist:

            1.  Return to the previous screen and locate the correct recipient from the dropdown menu. 
            2.  A master data admin can update master data if the email is incorrect or assigned to the wrong profile. 
             

            After filling in any required (and any desired optional) fields, click Add Individual. 

            Now, you can move forward with adding this recipient to your request. 

            Note: The new party will be added to master data at the time the request is submitted. 


            Updating a New Party (Before Submission)

            Users can edit the recipient before submitting a request by clicking the Pencil icon next to the Full Name field. 

            Updating a New Party (after submission)

            If the recipient has already been submitted for approval, any information that was entered into the New Party modal, such as Name, Address, Country, E-mail, etc., will need to be updated within master data by a master data admin. 

            Important: If master data is updated, the recipient must be canceled in the request and readded in order to reflect any changes. 

            Users can still update the other recipient information, such as the questionnaire and support categories by following the directions here: 

            • Updating Recipient(s) Post Submission - Approved Request
            • Updating Recipient(s) Post Submission - In Progress Request

            Or cancel the recipient by following these directions: 

            • Canceling Recipient(s) Post Submission - Approved Request
            • Canceling Recipient(s) Post Submission - In Progress Request
